Workflow templates let you customise pre-set forms for different parts of the system. They help speed up data entry by automatically filling in default values and prompting users to record the right information for each context. You can create workflow templates for the following areas:
- Call
- Task
- Appointment
- Opportunity
- Quote
- SMS
- Document Folder
- Case
To create a new workflow template, go to ‘Admin > Template List > Workflow Templates’ and select ‘Create Template’.
From the tabbed list at the top select the type of workflow template that you wish to create:

Fill in a useful Template name (and if you wish, a Template Description to detail it’s purpose).
Continue down the screen filling in any mandatory fields (marked by red asterix) – these values will pre-fill the relevant field when your template is used.
If you wish to incorporate custom fields in a template, select ‘add custom field’, then tick the checkbox next to the field you wish to add and select ‘update’. This is really useful if you want to capture specific information in the context where this template will be used (for example let’s say your meeting template is called ‘Meter Read’, you may add a custom field for ‘Meter Read Wattage’ to your appointment template).
Tick here to auto create: if your workflow template is going to be created automatically by a workflow action then tick this box. If this is not ticked, the user will be prompted to manually input the activity or opportunity when a relevant workflow is triggered.
