How to…View more details on a quote

Each quote created in BuddyCRM is assigned a number. In the example here, the number is 1, shown in blue.

Click on the number 1 to take you to another screen giving you more details on the quote.

You can now edit any of the fields or add notes in the notes field.

Introduction to Cases

Select the Cases icon from the Buddy Bar in BuddyCRM.

Your summary of cases will appear under six categories.

The six categories as seen above are:

  1. List Open assigned to me – this includes any cases that have not been dealt with but have been assigned to you
  2. Longest Open – the cases that have been open the longest and have not been resolved
  3. Cases CC to me – any cases that someone else thought you should be aware of, even if you do not have complete responsibility for resolving the cases
  4. List Open for records I am able to view – A list of any open cases for records that you have access rights to
  5. Case for records belonging to me – any existing cases for your records, whether created by you or not
  6. List recently viewed – any cases that you have recently accessed

How to…Add a Note to a Record

Search for the relevant record by using the search bar in BuddyCRM.

Click the plus icon  in the activity feed and select Add Note.

A box will appear where you can add free text. Click on Add Note and the note will be saved to your Activity Feed.

How to…Create a New Case

Select the Cases icon from the Buddy Bar in BuddyCRM.

You will be taken to a page where you can fill out all the details of your case. You can assign the case to another person within your company and you can CC another member of your team so that they become aware of the case.

This will save your case and will appear in your Cases summary.

You can link your case to a particular product. This can be useful if, say in the the future you wish to run a report on the number of cases linked to a particular product. The product you wish to select must be set up in your product database  (See How to…Add to a Product).

Begin by typing a product into the Linked Products field and this will automatically generate a list that matches the criteria of your entry. In the example below, I started to type ‘Development’ and the relevant results were given. Select the one you wish to use and this will be saved against this case.

How to…Create and Edit an Opportunity

To Create an Opportunity, search for the account you wish to add the opportunity to. Select the Opportunity tab on the Record Card.

Add an opportunity to this account by pushing the plus icon and then completing the form below.

Once you have added an opportunity, you can add additional comments to it, link a product to the opportunity, view any activities relating to this opportunity and change any contact roles relating to the opportunity.

To add a comment on an opportunity, dial down the opportunity by clicking the arrow icon , click into the comments box – write your comment and push Enter.

The comment will appear in a dated list.

If you would like to link a product to your opportunity, start typing your product into the field (or press space to bring up a list of all products available). Select the one you want, click the plus icon  and it will appear in your linked products section.

Any Activities related to this opportunity will appear in the Activity area at the bottom.

 

You can Add Contact Roles to this opportunity, for example if you have a Sales Manager listed as a contact on this account and they are the main decision maker for this opportunity, you can add this to your Contact Roles section. Simply click on the plus icon  next to Contact Roles.

A pop-up will appear, select the contact you wish to add and click Add

You can click in the role box and add your own role such as ‘Decision Maker’, click out of the box and this will be saved against your opportunity.

Your Opportunities will be shown at the top of the Opportunity tab and they will also by shown in your Activity Feed. In order to edit your opportunity, click on the name of the opportunity and it will ‘dial down’ to display it.

To edit the main details of the opportunity, click the pencil icon  in the top right. The popup will allow you to edit the details and update the progress of the opportunity.

Should you wish to mark the opportunity as Won or Lost, click on the buttons Won or LostBuddyCRM will update your details and your opportunity will appear as a closed opportunity on your Opportunity Tab. A tick or cross will display next to the opportunity to indicate won or lost respectively.

You can continue to edit details in the closed opportunity by clicking the name of the opportunity and pushing the edit button . The opportunity can also be re-opened if required by clicking the re-open button.

Introduction to Home

This BuddyCRM homepage gives an overall picture of where this sales person is at in terms of sales, activities, leads and opportunities. Your Home page can be customised to meet your needs.

Each of the 4 screens can be displayed and collapsed to suit what you want to view.

BuddyCRM is navigated by the Buddy Bar which is always displayed along the left hand side of the screen.

You also have the ability to customise your own homepage, ask for help or log out of your BuddyCRM.

The top bar displays your company logo, has a search function and the Action plus, where you can select from a number of tasks.

Activities displays the activity occurring for the selected team member Today, Tomorrow and over the next 7 days. Click the tabs at the top to change the selected time view.

To the right, your Recently Completed activities are displayed along with a quick look at those that have been lapsed or missed.

Overview shows a short synopsis of your progress towards targets for a given period. Change the period shown by clicking on the dropdown.

What is displayed on the overview screen can be adjusted by selecting the settings cog on the right-hand side. Select what you want to see and push  update.

The home page displays your selected widgets in the Analysis section.

There is a choice of around 28 different widgets available to choose from. See ‘How to…Customise my Homepage for details of how to change these.

The Tables section of the home page displays tabular information for Accounts, Leads, Sales and Opportunities.

Choose the fields you wish to display in each table by clicking the cog shown in the top right of the table. A popup will appear. Select the fields and push the Update button.

Click on any account or lead name shown in a table or widget to access their detail. This will take you to the Record card for this account. See the section on Record for more details.

How to…View Details of a Case

Select the Cases icon from the Buddy Bar in BuddyCRM.

You will be taken to your Cases Summary.

Every Case is assigned a number. The example in the screenshot above is number 22. If you click on this number you are taken to a description of the case.

Should you wish to make any changes or updates to the case, click Screen Shot 2013-09-13 at 10.29.16

Make your changes and click Screen Shot 2013-09-13 at 10.31.01 and this will appear on your case description, as shown here:

How to…Upload a Document to a Record

When you click on the Documents tab on an Account’s record card, any linked documents will appear here.

You can upload or link a document to an opportunity by clicking on the plus icon .  A popup will open allowing you to upload your documents to the account. Drag and drop or click the box to use the file browser to add your documents. A thumbnail will appear of your documents. Push Upload to complete and send the documents to BuddyCRM.

How to…Customise my Homepage

When you log-in to BuddyCRM, you will be taken to your homepage. Dial up and dial down the arrows next to each each section (Activities, Overview, Analysis, Tables) to display them. In the below picture, only Overview is displayed.

Information in the Overview and Tables sections can be customised by clicking the options cog options cogin the top right of the section.

A popup will display such as this one in Overview. Choose your items and click the Update button.

Some individual widgets in the Analysis section can also be customised to change the information shown.

Above in the Opportunities Won/Lost chart you can see the options for Financial Year are shown as Current Year, Previous Year and All. Select one of these and push the Refresh button Refresh button to update the chart.

 

Tables can also be customised.

In the above Leads table from the Tables section, we have chosen to only display leads owned by ‘Adam’. Push the magnifying glass icon to start your search. Once you have chosen your selection, click ‘enter’ to complete the search.

You can select which fields you wish to display and click ‘Update‘ to save.

How to…View Activities

When you log into BuddyCRM you will be taken straight to your home screen. Activities are shown at the top of the screen.

At log-in your activities for today will be shown, along with tabs for activities Tomorrow and in the next 7 days. You can also view recently completed, lapsed and missed activities.

To see more detail on an activity click on its icon:

A pop-up will appear giving you more details about the call. You can edit the details or complete the call by selecting edit.

If you wish to complete this call, select the ‘Tick here to complete activity‘ box and then ‘Update’.

In order to edit or complete an appointment, opportunity or task, simply follow the instructions above on how to edit/complete a call.

Activities can also be accessed via your Calendar – press the Calendar icon in the Buddy Bar.
